User Manual


Rules:

Each exhibitor must have BOTH a unique business name and a unique email. Only admin can approve an exhibitor and a booth. Approved booths are reserved and held in exhibitors shopping cart until a payment is made. Upon minimum payment, the exhibitors cart is emptied and order and payment info is recorded. Exibitor reserved booths remain gray until exhibitors booth balance = 0, changing booth color to red. An expo year starts Aug 1 and ends July 31 of the following year.

Internet User. First time applicant.


Applicant Steps:

  • Register with the website.
  • Submits online application . Application onfirmation email is sent to exhibitor and admin.
  • Admin approves exhibitor online account and reserves booths. Booths are automatically entered into exhibitors online shopping cart.
  • Exhibitor booths are automatically reserved and grayed (reserved).
  • Exhibitor receives approval email with payment instructions.

Checklist for this step.

Verify all email were sent to recipients. Check booth color, should be gray. Make sure that the exhibitor is found in the database by entering business name and clicking the load button and the exhibitors shopping cart is correct. Exhibitor should be listed in unpaid deposits. Verify exhibitor can access their account. May require exhibitor signing out and logging back in after admin has approved the account.

Online exhibitor selects option for payment:

Option 1: Pays in full through PayPal (No actions required by admin)

  • Shopping cart is emptied.
  • Order is recorded.
  • Payment is recorded.
  • Exhibitor booths color change from gray to red (sold).
  • PayPal payment confirmation email is sent to exhibitor and admin.

Verify all email were sent to recipients. Check booth color, should be red. Go to accounts. Check order, order detail and payment. Verify all information and balances are correct. Make sure exhibitors shopping cart is empty.

Option 2: Pays deposit through PayPal (No actions required by admin)

  • Shopping cart is emptied.
  • Order is recorded.
  • Payment is recorded.
  • Exhibitor booths color remain gray.
  • PayPal payment confirmation email is sent to exhibitor and admin.

Verify all email were sent to recipients. Check booth color, should be gray. Go to accounts. Check order, order detail and payment. Verify all information and balances are correct. Make sure exhibitors shopping cart is empty.

Option 3: pays some or all amount through email invoice

  • Exhibitor
    • Exhibitor receives email invoice.
    • Exhibitor mails in check.
  • Admin
    • Enters check payment to applicants account(if payment minimum is submitted)
    • Exhibitors shopping cart is emptied.
    • Order is recorded.
    • Payment is recorded.
    • Payment amount determines if booths stay gray or turn red (booth account balance = 0)

Verify all email were sent to recipients. Check booth color. Go to accounts. Check order, order detail and payment. Verify all information and balances are correct. Make sure exhibitors shopping cart is empty.

Non-Internet User. First time applicant.


Applicant Steps:

  • Mail in application with check.

Application is received by Admin.

  • Admin
    • Admin enters profle and booth information and check payment.
    • Exhibitors shopping cart is emptied.
    • Order is recorded.
    • Payment is recorded.
    • Approval email is sent to exhibitor.
  • Exhibitor
    • Exhibitor has option to activate exhibitor status on website with confirmation code, detailed in approval email.
    • Online option:
      • Register with the website.
      • Copy confirmation code and click on link provided in email.
      • Paste confirmation code. Sign out and log back in.
      • Applicant is assigned to exhibitor role.

Checklist for this option.

Verify all email were sent to recipients. Check booth color. Go to accounts. Check order, order detail and payment. Verify all information and balances are correct. Make sure exhibitors shopping cart is empty. Verify exhibitors profile is correct

Sign out as admin. Register as new exibitor. Copy and paste the confirmation code from the email. Sign out and back in. Verify exibitor can access their account.

Case: New Exhibitor Email

When a mailed in application is entered an approval email is sent out with instuctions as detailed above.

Case: Lost New Exhibitor Email And Has Not Registered
